Job Description
Key Responsibilities:
1. Client Management:
- Serve as the primary point of contact for assigned clients, ensuring their bookkeeping needs are met with precision and timeliness.
- Manage, organize, and prioritize deliverables for multiple clients, ensuring that all deadlines are met without compromising on quality.
- Maintain ongoing correspondence with clients to ensure file completion, provide necessary reports, and address any concerns.
- Conduct regular meetings with clients to review financial statements, address concerns, and provide financial insights.
- Develop and maintain strong client relationships, ensuring high levels of client satisfaction and retention.
- Assist clients in understanding their financial data and make recommendations to optimize their financial performance.
2. Bookkeeping Oversight:
- Oversee the daily bookkeeping activities, including accounts payable, accounts receivable, payroll, bank reconciliations, and financial reporting.
- Ensure that all bookkeeping tasks are completed accurately and in accordance with company policies and accounting standards.
- Review and approve financial reports and statements prepared by junior staff before they are delivered to clients.
- Stay updated on the latest bookkeeping and accounting software, ensuring the team uses the most efficient tools available.
- Preparation and audit of complex financial reports, including Work-in-Progress (WIP), deferred income, and inventory within financial statements.
3. Team Leadership:
- Lead and mentor a team of bookkeepers, providing guidance, training, and support to ensure the team's success.
- Delegate tasks effectively, ensuring the workload is balanced and deadlines are met.
- Conduct performance evaluations and provide constructive feedback to help team members grow professionally.
- Foster a collaborative and positive work environment that encourages teamwork and continuous improvement.
4. Financial Analysis & Reporting:
- Analyze financial data to identify trends, patterns, and opportunities for clients to improve their financial performance.
- Prepare and present detailed financial reports, including balance sheets, income statements, and cash flow statements, to clients and management.
- Assist in the development of budgets and forecasts for clients, providing insights and recommendations.
5. Compliance & Risk Management:
- Ensure that all financial activities are in compliance with relevant laws and regulations, including tax laws and accounting standards.
- Identify and mitigate risks associated with financial transactions and client accounts.
- Assist clients with year-end audits and tax preparations, ensuring all documentation is accurate and complete.
- Regularly review and update processes to minimize risks and ensure the firm remains compliant with industry standards.
6. Process Improvement:
- Continuously seek opportunities to improve the efficiency and effectiveness of bookkeeping processes.
- Implement new tools, technologies, and processes to enhance service delivery and client satisfaction.
- Collaborate with the Director of Operations to develop and refine best practices for the firm.
Qualifications:
- Education: Degree in Accounting, Finance, or a related field. CPB designation is a must.
- Experience: At least 5-7 years of experience in a bookkeeping or accounting firm, with a minimum of 2 years in a leadership or supervisory role.
- Technical Skills: QBO Advanced certified
- Soft Skills: Strong communication and interpersonal skills, with the ability to build and maintain client relationships. Excellent organizational and time management skills.
